The product
What is Apex, in one sentence?
Connect your tools once, and Apex becomes the brain your AI works from. It reads your email, calendar, call notes, CRM and docs, turns them into an organized memory of your business, and lets Claude, ChatGPT and Grok Bot answer from it.
How is this different from Obsidian or Notion?
Obsidian and Notion only know what you put into them, and they stay as you left them. Apex fills itself from the tools you already use, organizes what it finds into people, clients, promises and decisions, and re-reads everything about every 15 minutes. Think of Obsidian as a library with no librarian. Build vs buy →
Is it just a wrapper around ChatGPT or Claude?
No. Apex isn't another chatbot. It is the memory layer your existing AI plugs into. You keep using Claude, ChatGPT or Grok Bot exactly as you do now; they just know your business.
My AI already has memory. Why do I need this?
Built-in memory is small, lives inside one app, and only knows what you told it in chat. Apex reads your actual tools, keeps itself current, and is one memory that every AI you use can read.
Which AIs does it work with, and can I switch?
Claude, ChatGPT and Grok Bot. They connect through MCP, the standard way AI apps read from other tools. Your brain isn't tied to any of them, so you can switch, or use all three, and keep the same context.
Does it send emails or do things for me?
No. Apex only reads your tools; it never sends, edits or deletes anything in them. Your AI does the doing, such as drafting the email or the brief, with Apex giving it the context to do it well.
How fresh is the information?
Apex re-reads every connected tool about every 15 minutes, which is 96 times a day. It isn't real-time and it isn't a once-a-day sync. Slack is searched live when your AI asks.
Can it show live numbers, like my bank balance?
No. Apex is memory, not a live feed. For a number that has to be right this second, connect that tool's own integration to your AI alongside Apex.
Which tools does it connect to? Can I add our own software?
There are 91 connectors, covering email, calendars, call recorders, CRMs, docs, accounting, project tools and more. Search your Stack to check the tools you use. There are no custom connectors: keeping to a fixed list keeps your brain clean, and every connection is maintained by our team.
Can I bring my existing Obsidian notes?
Yes. This is possible by syncing your Obsidian vault to any cloud storage, e.g. Google Drive, OneDrive, or Dropbox, then connecting that cloud storage in Apex. Every file in the vault becomes a note, and it stays in sync with Apex as you edit.
Security and data
Is my data encrypted?
Yes. It's encrypted at rest with AES-256 and in transit with TLS 1.2 or higher, with TLS 1.3 enabled. The text of your email and documents also gets a second layer of encryption with a key that belongs to your company alone. Security details →
Can anyone at Apex see my data?
Nobody at Apex has a screen that shows your documents or notes. Interactive server access is turned off, and the database never logs your content.
Can another customer ever see my data?
No. Every company sits behind a fence enforced by the database itself, and the app runs under a restricted role so the fence applies to it too.
Can I choose which emails go into my brain?
You choose which tools to connect, not which emails inside a tool. Everything in a connected tool is used to build your brain, so connect the tools you want in it and leave out the ones you don't.
What happens if I disconnect a tool, or leave?
Disconnect a tool and its raw records are deleted immediately. Leave Apex and your company's key is destroyed, so any copies left in backups can't be read. Backups are kept for 35 days.
Where is my data hosted?
On Amazon Web Services, in a managed database and AWS storage. Production and testing are kept in separate environments.
Do you have SOC 2?
SOC 2 is on the way, along with an independent security test and our data processing agreement and subprocessor list. The status table shows what's live today.
Team and getting started
Can my team use it?
Yes. Your team asks Apex instead of asking you. It has the answers and the context from your tools, so questions like "what did we promise them?" or "who owns this?" stop landing on your desk.
Do I need to be technical?
No. There's nothing to install and nothing to host. You sign in, connect tools with each tool's own sign-in screen, and we connect your AI with you on your onboarding call.
What happens after I sign up?
You book your onboarding, sign in with Google, and connect your tools. The first build takes about 15 minutes. Then we connect your AI and you ask your first question. Getting started →
How much is it?
We walk you through it on the call, along with exactly what's included.
Can't I just build this myself?
You can. Building a brain is a weekend; keeping it current, connected, organized and secure is the ongoing job, and that is the part Apex does. See what it takes →
Still have a question? Bring it to the call. It's a decision call, so everything else is here first.
